Drive delivery discipline across a multi-year technology transformation.
With a hybrid-first setup, you’ll balance three days in the Melbourne CBD office with the flexibility to work from home. You’ll provide structured, high-quality project coordination across technology, data and transformation initiatives — helping ensure delivery activity is well planned, well governed and executed with consistency.
This is a hands-on Project Coordinator role supporting a broad transformation program. You’ll maintain project plans, RAID logs, action trackers, dependency registers and delivery reports, while helping the Program Manager and senior stakeholders stay across progress, risks, costs, actions and upcoming milestones.
You’ll work across delivery activity by collecting updates, chasing actions, tracking effort and costs, preparing governance artefacts, supporting UAT coordination, maintaining documentation standards and ensuring information is accurate, current and ready for review.
This isn’t a passive administration role. You’ll work directly with project teams, vendors, SMEs and senior stakeholders to create visibility, reduce execution risk and bring structure to a fast-moving delivery environment. The role is practical, visible and suited to someone who enjoys keeping teams organised, accountable and moving.
What you’ll do
- Maintain core project artefacts including project plans, RAID logs, action trackers and dependency registers
- Coordinate weekly status updates, chase outstanding actions and consolidate reporting
- Track progress against monthly delivery plans, milestones and dependencies
- Support time and effort tracking across project resources, including planned vs actuals
- Maintain project cost trackers, including forecast vs actual spend, vendor costs and burn rates
- Prepare and update governance artefacts including SteerCo packs, ELT updates and monthly reports
- Support release, cutover, implementation and UAT coordination activities
- Maintain deliverable trackers and highlight slippage, bottlenecks or unclear ownership
- Review delivery documentation for completeness, clarity, consistency and version control
- Maintain approved templates, documentation standards and naming conventions
- Ensure project artefacts are stored appropriately and accessible for governance and audit purposes
- Work across delivery tools such as Jira, Confluence, MS Planner, SharePoint, Power BI and Power Automate
- Escalate delivery risks, issues and dependencies early with clear supporting context
What you’ll need
- 3+ years’ experience in Project Coordination, PMO support or delivery coordination roles
- Strong organisational discipline and confidence chasing actions across busy teams
- Experience maintaining project plans, RAID logs, action registers and status reports
- Exposure to project financials, effort tracking, cost tracking or forecast vs actual reporting
- Strong documentation, reporting and attention-to-detail skills
- Experience supporting technology, transformation or project delivery environments
- Comfort working with business, technology, vendor and senior stakeholder groups
- Exposure to UAT coordination, defect tracking, release support or implementation activity
- Familiarity with Jira, Confluence, SharePoint, MS Planner, Power BI or similar delivery tools
- A pragmatic, structured and proactive style — able to bring order without overcomplicating things
- Melbourne-based, with flexibility to attend the CBD office as part of a 3:2 hybrid model
- Immediate availability or short notice preferred
