Project Operations Specialist
Remote / Work From Home – PH-based | AU Hours (9:00 AM–6:00 PM AEST)

As a Project Operations Specialist, you'll be the engine behind our project visibility—transforming resource data into clear dashboards, surfacing delivery risks, and enabling smarter decisions across sales, delivery, and finance. You won’t just maintain systems—you’ll build them.

What you’ll do:

  • Build and manage multi-project dashboards for utilisation, margin, and delivery health

  • Run master resource planning and flag clashes, gaps, and optimisation opportunities

  • Support Sales in scoping Statements of Work (SoW) with real-time capacity insights

  • Maintain and action project risk logs and status reports, ensuring issues surface fast

  • Coordinate onboarding/offboarding workflows with HR and ensure data completeness

  • Lead weekly project-health huddles, track actions, and escalate issues proactively

  • Document delivery playbooks and lessons learned to build a smarter org

  • Automate recurring tasks using Zapier/Make, Apps Script, or Python for major time savings

  • Coach delivery teams on data hygiene and project tooling best practices

 

What we’re looking for:

  • 5+ years in PMO or project operations within professional services or tech consulting

  • Strong understanding of:

    • Statement of Work (SoW) mechanics

    • Margin tracking and variance reporting

    • Australian labour laws and contractor compliance

  • Advanced skills in Google Sheets (Apps Script, PowerQuery) or Excel

  • Experience with project dashboards (Looker Studio, Power BI, or similar)

  • Proven success with automation tools like Zapier, Make, or low-code scripting

  • Comfortable with project tooling APIs (Asana, Confluence) and SQL basics

  • Curious, systems-minded, and confident presenting insights to senior leaders
